1. Who we are
Fieldnote Society is the trading name of Tamás Marosvári, sole trader (egyéni vállalkozó) registered in Hungary. Registered seat: 2084 Pilisszentiván, Szabadság utca 103. Tax number: 90747984-1-33. Email: hello@fieldnotesociety.com. Website: fieldnotesociety.com. In these terms, "we" means Fieldnote Society and "you" means the person placing the order.
2. What we provide
2.1 Waymarked: a route we have personally travelled, adapted to your dates and preferences, with 2–3 side-quest ideas. Tiers: Weekenders, Thru-Trails and Horizons.
2.2 Uncharted: an itinerary designed from scratch around your brief. Tiers by trip length: Basecamp (up to 5 days), Traverse (up to 9 days), Summit (up to 20 days) and Expedition (22 days or more, by custom quote).
2.3 A deliverable may include a day-by-day route; suggested accommodation, activities and transport with timetable pointers; flight suggestions; a summary of visa and entry requirements with links to official sources; and a packing list. The contents of each product are described on its product page at the time you order.
2.4 Not included: booking or paying for flights, accommodation, transport, tours, permits or insurance; guiding, accompanying or supervising your trip; support during travel; and monitoring conditions after delivery.
2.5 One order covers a maximum of 4 travellers.
3. Advisory service only
3.1 We are not a travel agent, tour operator, travel intermediary or IATA member, and we do not act as your agent. We do not sell, combine or facilitate the purchase of travel services.
3.2 You make every booking and purchase yourself, directly with the provider, in your own name and under that provider's terms. We receive no payment from those providers.
3.3 Our contract with you is therefore not a package travel contract or a linked travel arrangement under Directive (EU) 2015/2302 or Hungarian Government Decree 472/2017 (XII. 28.), and the protections those rules give travellers against organisers do not apply to our service.
3.4 Our engagement ends when we deliver the final itinerary and the included revision is complete. After that we have no further role in your trip.
4. Ordering and acceptance
4.1 You must be at least 18 and legally able to enter into a contract.
4.2 After payment you complete the intake form and, for Uncharted, a mandatory 30–45 minute intake call.
4.3 We confirm whether we can take on your trip within 1 business day for Waymarked and within 2 business days for Uncharted, counted from completion of intake. If we decline, we refund the full price automatically to your original payment method within 14 days.
4.4 The contract is concluded when your payment is completed. We store it electronically and send you a confirmation email containing these terms.
5. Prices and payment
5.1 The price of each product is shown on its product page and at checkout at the time you order, in euros, and that price is what you pay. Uncharted prices cover 1–2 travellers; a surcharge per additional traveller, up to a maximum of 4, is shown at checkout. Expedition trips are quoted individually.
5.2 We are exempt from VAT under the Hungarian small-business exemption (alanyi adómentesség), so invoices are issued without VAT.
5.3 Payment is taken in full at the time of order through our payment provider, Stripe. To issue a valid invoice we need your name and billing address. We never handle payments for third-party travel services.
6. Withdrawal, cancellation and refunds
6.1 Our refund point. Either of us may end the contract up to the end of the intake stage: you may cancel and we may decline, and in both cases you receive a full refund. After intake is complete we begin designing your itinerary, and the price is no longer refundable.
6.2 Your statutory 14-day right of withdrawal. As a consumer you may withdraw from the contract within 14 days of its conclusion without giving a reason, by email to hello@fieldnotesociety.com or using the model withdrawal form in the appendix. Clause 6.3 explains how this works alongside 6.1.
6.3 Starting work within the 14 days. At checkout you expressly ask us to begin before the withdrawal period ends. As a result: once we have fully delivered the service, your right of withdrawal ends; and if you withdraw after we have started but before full delivery, you pay an amount proportionate to the work already done, and we refund the remainder. If you do not make that request, we start work only after the 14 days have passed.
6.4 Refunds are made within 14 days to your original payment method, at no cost to you.
7. Delivery and revisions
7.1 Planning estimates from acceptance, in business days: Weekenders 2–3; Thru-Trails 3–4; Horizons 3–5; Basecamp 3–4, rising to 12–20 for Expedition. These are estimates, not guaranteed deadlines. If we expect to be materially late we will tell you and give a new estimate; if that no longer works for you, you may cancel and receive a refund for the part not yet performed.
7.2 Included revision. Each product includes one revision round, covering adjustments to days, stops or activities within the same route and brief.
7.3 Changing destination, adding a region or extending the trip length is new work. We may offer to quote for it separately, but we are not obliged to take it on. The same applies to any request after the final itinerary is delivered.
8. Your responsibilities
8.1 You confirm that the information you give us, including about your experience, fitness and group, is accurate and complete. Our itinerary relies on it.
8.2 You are responsible for all bookings and payments; valid passports, visas, permits and entry documents; vaccinations and health requirements; adequate travel insurance, which we strongly recommend covers your planned activities, including trekking at altitude, and medical evacuation; and checking conditions, advisories and supplier details before booking and before each day of travel.
8.3 Visa and entry information is a summary written at the time of preparation, with links to official sources. Requirements change and decisions rest with the authorities, so always confirm with the official source.
8.4 If you share information about other travellers, you confirm they agree and that you have shown them our Privacy Policy.
9. Nature of travel and your acknowledgement
Travel, particularly independent, off-the-beaten-path, technical or high-altitude travel, involves inherent risks, including from terrain, weather, altitude, wildlife, political instability, health and infrastructure. These risks exist regardless of how carefully a trip is planned. By ordering, you acknowledge that:

our role is limited to providing route and planning information; we do not accompany, supervise, monitor or guarantee the safety of your trip;

conditions can change after we deliver the itinerary, and we do not monitor or update it afterwards;

decisions on whether, when and how to follow any part of the itinerary, including turning back, changing route or seeking help, are yours to make on the ground;

you should follow current government travel advisories, entry requirements and local guidance before and during travel.
10. Liability
10.1 Nothing in these terms excludes or limits our liability for breach caused intentionally or through gross negligence, for breach causing harm to life, physical integrity or health, or any other liability that cannot be excluded by law (Civil Code 6:152), nor your statutory consumer rights, including for defective performance.
10.2 Subject to 10.1, we are not liable for loss or damage arising from decisions you make before or during your trip; changes in conditions, prices, schedules or rules after delivery; acts or omissions of airlines, accommodation, tour operators or any other supplier; refusal of visas, permits or entry; missed connections; inaccurate or incomplete information you gave us; or your not following the itinerary, official advice or supplier instructions.
10.3 Subject to 10.1, our total liability for any other loss arising from the contract is limited to the price you paid for it.
10.4 Our itinerary is planning information prepared with reasonable care. We do not promise any particular trip outcome.
11. Third-party providers
Any contract for travel services is between you and that provider. We are not responsible for their services, availability, prices, terms or conduct. A recommendation is not an endorsement or a guarantee.
12. Events outside our control
We are not liable for delay or failure to deliver caused by events beyond our reasonable control, such as illness, natural disasters, war, strikes or loss of essential online services. We will tell you promptly, and if the delay is significant you may cancel and receive a refund for any part not yet performed.
13. Intellectual property
All itineraries, maps, notes and other materials remain our property. You may use them for your own trip and share them with the travellers named in your order. You may not sell, publish, redistribute or reuse them commercially without our written consent.
14. Complaints, governing law and disputes
14.1 Send complaints to hello@fieldnotesociety.com. We reply in writing within 30 days.
14.2 If we cannot resolve the matter, you may turn to the conciliation board of your place of residence or, in our case, the Pest County Conciliation Board (Pest Vármegyei Békéltető Testület, 1055 Budapest, Balassi Bálint utca 25. IV/2), or to the consumer protection authority.
14.3 These terms are governed by Hungarian law. If you are a consumer living elsewhere in the EU, you keep the protection of the mandatory laws of your country of residence, and you may bring proceedings in the courts of that country or of Hungary.
15. Other terms
15.1 We may update these terms. The version you accepted at your order applies to that order.
15.2 If any clause is found invalid, the rest remains in force.
